About NCAEP
The Northern California Association of Equine Practitioners (NCAEP) is a nonprofit organization dedicated to advancing the health and welfare of horses through continuing education, professional collaboration, and community engagement among veterinarians and equine industry professionals. Through educational seminars, hands-on labs, and networking events, NCAEP fosters excellence in equine veterinary medicine across Northern California.
Position Summary
NCAEP is seeking a detail-oriented and proactive Executive Director to support the Board of Directors with administrative operations, communications, membership management, and continuing education event coordination.
This is a remote, part-time contractor position offering flexible scheduling. Occasional in-person attendance at meetings or events within Northern California may be requested.
Responsibilities
- Manage the NCAEP administrative email account via G Suite and Grasshopper phone system, responding to member and partner inquiries in a timely, professional manner.
- Serve as the primary point of contact for volunteers, members, sponsors, and educational partners.
- Maintain and update the NCAEP website, member communications (Mailchimp), and social media accounts.
- Manage membership and event registration using MembershipWorks platform.
- Coordinate logistics for CE events and webinars, including registration, venues, speakers, print materials, AV support, and sponsors.
- Schedule, host, and run monthly Board meetings (virtual – Zoom), including managing the meeting platform, guiding the agenda, facilitating discussion flow, and recording minutes and action items.
- Schedule, host, and run monthly Emergency Response Committee meetings (virtual – Zoom), including managing the meeting platform, guiding the agenda, facilitating discussion flow, and recording minutes and action items.
- Provide administrative support to the Emergency Response Team during deployments, assisting with communication, documentation, and coordination.
- Maintain organizational files and assist with documentation and follow-up tasks.
- Conduct outreach to current and prospective educational partners and sponsors, facilitating communication, confirming participation, and ensuring sponsor visibility at events.
Qualifications
- Strong organizational and communication skills.
- Ability to manage multiple priorities independently.
- Professional and responsive in written and verbal communication.
- Experience with Google Workspace/G Suite is required.
- Experience with membership software systems, Mailchimp, Canva, and event coordination is helpful, but training will be provided.
- Familiarity with the equine or veterinary industry is helpful.
- Must reside in or be able to travel occasionally to Northern California.
Contract Details
- Independent contractor position.
- Compensation: $20–$25/hour, depending on experience.
- Estimated workload: average of 2 hours per week; up to 5 hours/week during event planning and execution.
- Flexible schedule; remote work with occasional in-person attendance.
- Reports directly to the NCAEP Board of Directors.
